
Access terms and conditions for Pure Meetings & Events exhibitors.
ARTICLE 1 - PURPOSE AND NATURE OF THE EVENTS
The Pure Meetings & Events trade show (the “Trade Show”) brings together stands dedicated to the promotion of leisure tourism, business tourism and events, with admission reserved for professionals holding an access pass. In accordance with the purpose of the Trade Show, only companies, organizations or administrations with expertise in the event, leisure tourism, business tourism and incentive sectors are admitted to exhibit.
ARTICLE 2 - ORGANIZER
The Trade Show is organized by Pure Meetings & Events, a subsidiary of Globe Network (the “Organizer”). The Organizer organizes the Trade Show under a general obligation of means. It excludes any indirect damage, and more specifically any operating losses or financial losses. The total amount of compensation that the Organizer may be required to pay to the exhibitor shall not exceed an amount greater than the reservation amount.
ARTICLE 3 - ACCEPTANCE OF THE REGULATIONS
These general terms and conditions and these regulations apply in full to all reservation requests submitted by exhibitors for the Trade Show. Any reservation request implies full and unconditional acceptance of these terms. These general terms and conditions and regulations shall prevail over any general terms and conditions or any other documents issued by exhibitors, whatever their terms may be. Any other conditions issued by an exhibitor, provided that they do not contradict these terms, shall only be valid if they have been expressly accepted by the Organizer.
In the event of a breach of these regulations, the Organizer may, without prior formal notice and without prejudice to any claim for damages:
• Exclude the exhibitor and/or immediately close their stand;
• Request and/or arrange for the removal of any non-compliant items at the exhibitor’s expense, risk and liability.
In any event, the Organizer may prohibit access to the exhibition to any person who has, in particular, engaged in reprehensible acts against one of the exhibitors and/or against the Organizer, its staff and/or its partners.
ARTICLE 4 - MODIFICATION OF THE REGULATIONS
The Organizer reserves the right to decide on all cases not provided for in these regulations and to make any necessary amendments or additions, which shall become immediately applicable. Any circulars subsequently sent to participants shall form an integral part of these regulations.
ARTICLE 5 - EVENT SCHEDULE
The Organizer determines the dates and venues of the Trade Show in the best interests of its smooth running and success. The dates and venues indicated on the reservation form are provided for information purposes only. The set-up and dismantling dates and times will be specified in an email sent to each registered exhibitor who has already paid for their stand in full.
ARTICLE 6 - ADMISSIONS
Subject to acceptance of their admission request, all companies, organizations or administrations with expertise in the event, leisure tourism, business tourism and incentive sectors may participate in the Trade Show.
Admission requests from applicants experiencing financial difficulties and/or in a debtor situation and/or involved in a dispute with the Organizer or its group may not be considered. The Organizer is not required to justify the decisions it makes regarding participation requests.
The number of access passes per entity is limited to the number provided for in the ordered package, as well as any additional access passes ordered. Any request for additional access will be subject to an additional invoice and to validation by the Organizer.
Under no circumstances may an exhibitor or service provider access the event without being accredited, nor through registration as a visitor.
ARTICLE 7 - INSURANCE
The organizers are civilly liable in their capacity as organizers of the Trade Show. This liability may under no circumstances extend to damage caused by third parties to participants.
The owners of the premises used during the Trade Show are liable in their capacity as owners of the buildings and facilities, whether fixed or temporary, used for the Trade Show, as well as for the operation of the activities and businesses they manage directly. The same applies to all external companies.
The participant must be covered by an individual civil liability insurance policy and shall be liable for all damage caused to others, whether by themselves, their staff or their installations.
The participant must be covered by an insurance policy guaranteeing their own equipment or any entrusted goods brought to the event. It is the responsibility of each participant to insure the protection of their property and personal effects. The Organizer accepts no liability in this respect.
ARTICLE 8 - COMMERCIAL RULE
The participant formally undertakes not to engage, outside Pure Meetings & Events, in activities similar to those carried out within Pure Meetings & Events during the entire duration of the event.
In particular, the participant undertakes not to take visitors outside the event without the written consent of the organization.
ARTICLE 9 - CANCELLATION
All orders are firm and final. In the event of cancellation, at any date and for any reason whatsoever, the signatory of the request shall remain liable for the full amount of their participation.
In the absence of payment by the agreed due date, the registration request shall be automatically terminated, without the signatory being released from their payment obligation towards Pure Meetings & Events.
The penalty shall remain due even if the Organizer is able to reallocate the stand initially reserved.
ARTICLE 10 - ASSIGNMENT
The exhibitor may only present on their space the materials, products or services listed in their admission request and accepted by the Organizer and/or the materials, products or services presented by their declared co-exhibitors and accepted by the Organizer.
They may not advertise, in any form whatsoever, companies that are not exhibiting. Unless prior written authorization is granted by the Organizer, a participant may not transfer or share, whether for payment or free of charge, all or part of their participation in the Trade Show.
ARTICLE 11 - ALLOCATION OF SPACES
The Organizer prepares the event floor plan and freely allocates spaces according to the date on which files are returned, as well as technical and artistic constraints.
The Organizer will endeavor to take into account the wishes expressed by exhibitors. In any event, for obvious organizational reasons, the Organizer cannot guarantee that such wishes will be satisfied.
No claim relating to the space allocated to the exhibitor will be taken into consideration. Under no circumstances shall the Organizer be liable to the exhibitor for any consequences that may arise from the space allocated to them.
Participation in previous events does not create any right to a specific space, nor even to the automatic renewal of participation in the Trade Show.
Floor plans will only be provided upon express request within one week before the Trade Show.
ARTICLE 12 - STANDS
Exhibitors must have completed the installation of their stand the day before the opening of the Trade Show, for inspection by the Safety Commission.
The Trade Show area will be closed to vehicles on the opening day of the Trade Show and throughout the duration of the exhibition.
In order to prevent any losses, it is essential that a person representing the brand be present on site when parcels are received. The Organizer does not receive any parcels. The Organizer is not responsible in the event of loss or theft.
It is important to send any furniture order before the deadline. Otherwise, we cannot guarantee the availability of the furniture. We thank you for preserving the general condition of the furniture.
The stand must be permanently occupied during opening hours by a competent person.
Visitors must be able to move freely throughout the exhibition without being diverted by exhibitors.
It is prohibited, under penalty of immediate exclusion from the Trade Show, without refund or compensation, and under penalty of immediate payment of all sums due:
• To carry out, in order to attract customers, any disturbing demonstration, loud advertising, solicitation or any other action, in any manner whatsoever, or any other advertising likely to disturb the occupants of neighboring stands and their visitors;
• To distribute samples and/or brochures relating to items not exhibited, unless written authorization is granted by the Organizer;
• To distribute samples and/or brochures outside the stand;
• To place objects protruding from the external sides of the stand;
• To post placards and brochures outside the stand;
• To use a sound system without written authorization from the Organizer;
• To host on the stand any company or person not registered for the Trade Show or not declared.
The exhibitor may not leave or clear or dismantle their stand before the official closing of the Trade Show. They may not remove any equipment without justification and written authorization from the Organizer.
The spaces must be vacated no later than 2 hours after the closing of the event. The premises must be restored to their initial condition. In the event of non-compliance with these obligations by the exhibitor, the Organizer shall be free to apply a penalty as soon as the non-compliance with the above-described obligations is observed.
Any damage caused by exhibitors’ installations or exhibited goods to buildings, installations provided by the Organizer, trees, plants or any other elements or flooring shall be assessed by the Organizer’s representatives and charged to the exhibitors.
Exhibitors must not modify the elements set up by the Organizer, such as furniture, signage, lighting or carpets, nor obstruct the aisles, encroach upon them or disturb their neighbors.
ARTICLE 13 - SAFETY REGULATIONS
The participant is required to comply with the safety measures imposed by administrative or judicial authorities, as well as any safety measures taken by the Organizer.
In particular, they must ensure that all accessories added by them for the fitting out or decoration of their stand are fireproof or non-flammable.
Smoking is prohibited within the Trade Show area.
The Organizer reserves the right to verify compliance with these measures. Surveillance is carried out under the control of the Organizer, and its decisions regarding the application of safety rules are immediately enforceable.
ARTICLE 14 - FRAUD - UNFAIR COMPETITION
Exhibitors undertake to present only products or materials that comply with the regulations in force, not to carry out any advertising likely to mislead, and not to commit any act of unfair competition.
The Organizer may not in any way be held responsible for non-compliance with this obligation.
In any event, the exhibitor undertakes to fully indemnify the Organizer against any possible convictions or settlements in this respect.
If necessary, the Organizer may have the disputed product(s) or material(s) removed without delay.
ARTICLE 15 - PAYMENT
A 35% deposit is required upon order, and the balance is due no later than 4 months before the event. For any order placed after this date, full payment must be made at the time of signing the order form.
Failing full payment of the amounts due, the Organizer reserves:
• The right to prohibit the exhibitor from accessing the stand;
• The possibility of releasing the space to another exhibitor;
• The right to require full payment of the invoice and payment of administrative fees as damages, even in the event that the space is released to another exhibitor.
ARTICLE 16 - CATALOGUE
The Organizer has the sole right to edit, or have edited, and distribute the Trade Show catalogue.
The information required for the preparation of the catalogue shall be provided by the exhibitors within the imposed deadlines.
The Organizer shall under no circumstances be responsible for omissions, reproduction errors, composition errors or any other errors that may occur.
ARTICLE 17 - PHOTOGRAPHY AND FILMING
The exhibitor expressly authorizes the Organizer:
• To take, if it so wishes, photos and/or films representing the exhibitor as well as the members of their team, and the products exhibited on their stand;
• To freely use these images on all media, including advertising media, in France and abroad, without any time limit;
• To cite and reproduce free of charge their brand or corporate name as a commercial reference for the purposes of its communication, on all media, both in France and abroad, without any time limit.
ARTICLE 18 - CUSTOMS AND OTHER OFFICIAL AUTHORIZATIONS
Each exhibitor is responsible for completing customs formalities for materials and products coming from or going to foreign countries.
The Organizer may not be held responsible for any difficulties that may arise during these formalities.
Exhibitors who use music inside the event, even for simple demonstrations, must declare it and deal directly with the competent institutions in this matter, and obtain the necessary authorizations if required.
ARTICLE 19 - INDUSTRIAL PROPERTY
The exhibitor shall be responsible for ensuring the industrial protection of the materials and products exhibited, in accordance with the legal provisions in force.
These measures must be taken before the presentation of such materials or products, as the Organizer accepts no liability in this respect.
ARTICLE 20 - PERSONAL DATA
The data collected on reservation request forms are processed by Pure Meetings & Events for the purposes of organizing the event, promoting the Trade Show and producing its catalogue.
Natural persons may request communication, access, rectification and deletion of the data concerning them by sending a request to production@pure-meetings.com.
ARTICLE 21 - PRODUCTION DEADLINES
The exhibitor undertakes to comply with the deadlines imposed by the Organizer.
Outside these deadlines, the Organizer can no longer guarantee the exhibitor’s appearance in the digital guide or in the appointment scheduling system.
ARTICLE 22 - CANCELLATION OR MODIFICATION OF THE EVENT
In the event of force majeure, including war, attacks, strike, national mourning, natural disasters, health crisis, etc., or a major constraint that may affect visitor attendance, or in the event of prohibition or cancellation due to the absence of administrative authorization, the Organizer may decide to postpone or cancel the Trade Show.
In the event of postponement of the Trade Show, the exhibitor’s participation will automatically be carried over to the new dates, without any additional administration fees.
The Organizer also reserves the right, in the cases mentioned above, to replace its physical Trade Show with a digital format.
If it is impossible to use the planned premises, the Organizer may change the venue or postpone the date. The Organizer may cancel the operation after notifying the participant, in which case the present admission request shall be automatically terminated, without any compensation for the participant other than the reimbursement of registration fees paid.
ARTICLE 23 - TOLERANCE
The fact of not exercising, at any time, a prerogative recognized by these terms, or of not requiring the performance of any stipulation of the agreement resulting from these terms, shall under no circumstances be interpreted either as a modification of the contract or as an express or tacit waiver of the right to exercise said prerogative in the future, or of the right to require strict performance of the commitments undertaken herein.
ARTICLE 24 - DISPUTES
In the event of a dispute, the participant undertakes to submit their claim to the Organizer before any legal proceedings.
Any action brought before the expiry of a period of fifteen days from this declaration shall, with the participant’s formal consent, be declared inadmissible.
In the event of a dispute, the courts of the Organizer’s registered office shall have sole jurisdiction.
